10 Things Every Electrical Equipment RFQ Should Contain

As cheap as the above sounds, we often miss out on some salient information while preparing an RFQ for electrical equipment.
We must first understand that an RFQ is not a formality. It is the livewire of every procurement. This document determines whether you get accurate pricing, the right equipment, and a supplier who understands exactly what you need.
I often say that a weak RFQ produces weak quotes, and weak quotes cost time and money down the line. Why not save time and resources?
Here are 10 things every electrical equipment RFQ should contain:
1. Precise technical specifications: Voltage, current rating, frequency, IP rating, insulation class, and any applicable standards (IEC, IEEE, NEMA). Vague specifications invite vague quotes. Trust me!

2. Quantity and unit of measure: Ensure you state the exact quantities per item and be clear about the unit of measure. “Pieces” and “sets” are not interchangeable. Remember that suppliers will price accordingly.

3. Specify required certifications: State applicable code and certification. Eg: CE, UL, ATEX, SASO, or country-specific approvals. Especially if the equipment is going into a hazardous area or regulated environment, please do not treat this with kid-gloves.

4. Delivery location and Incoterms: State the final delivery point and the Incoterm governing the transaction (FOB, CIF, DDP, etc.). This affects pricing, risk transfer, and who arranges logistics. Be crystal CLEAR!

5. Required delivery timeline: Give a realistic lead time expectation and ask suppliers to confirm their manufacturing and shipping timeline against it. I love the Chinese for this!

6. Packaging and labelling requirements: Electrical equipment is often sensitive to moisture, shock, and handling. Specify export packaging standards and any labelling requirements for customs or site identification.

7. Warranty terms: Ask suppliers to state their standard warranty period and what it covers. Do not assume. Remember, assumption is the mother of frustration. Get it in writing at the quotation stage.

8. Payment terms: State your preferred payment structure and ask suppliers to confirm acceptance or propose alternatives. This avoids negotiation delays after technical evaluation is complete.

9. Validity period of the quote: Request a minimum validity period for pricing, particularly for equipment with volatile raw material costs such as copper or aluminium. This is very crucial.

10. Documentation requirements: Specify what must accompany the shipment. Eg: test certificates, datasheets, certificates of origin, compliance declarations, letter of authorisation signed by the manufacturer (if possible). These documents matter as much as the equipment itself when it comes to customs clearance and installation sign-off.
